What we set up

The distribution workflow, from quote to cash

Standard Odoo already covers most of a distributor's day. We configure it around your price structure, credit policy and warehouse layout, then add small modules where your rules go further than the standard.

Featured module

Pricelists that match your deals

Odoo pricelists set prices by customer, customer group, quantity break, date range and currency. Sales staff see the agreed price on the quotation instead of looking it up in a spreadsheet.

  • Price by customer, group, quantity and date
  • Formulas based on cost or a base pricelist
  • Separate currencies for export customers
  • The same prices on quotations and the B2B portal

Standard Odoo set up for your sector first; custom code only where it stops.

Talk to us

Credit limits and holds

Each customer gets a credit limit and payment terms. Odoo warns when an order would exceed the limit, and we can add a rule that holds the delivery until finance releases it.

Backorders and partial deliveries

Ship what is in stock today. Odoo creates a backorder for the rest and keeps it in the warehouse queue until it ships or is canceled.

Landed costs

Freight, insurance, customs duty and broker fees are added to the goods they belong to, split by quantity, weight, volume or value.

Barcode warehouse

Receiving, picking, packing and cycle counts on handheld scanners with the Odoo Barcode app, including lot numbers and GS1 labels.

Route deliveries

Delivery orders grouped into batch or wave transfers by route or vehicle, with a loading list per truck and signed proof of delivery.

Purchasing and reordering

Reordering rules and vendor lead times create draft purchase orders when stock falls below the minimum, across every supplier you buy from.

B2B ordering portal

Trade customers reorder from a portal or B2B webstore that shows their own prices, open invoices and order history.

Returns and credit notes

Customer returns go to an inspection location first, and credit notes stay linked to the original invoice and delivery.

How it fits together

Sales, warehouse and finance working from one order

In many distributors the price lives in sales, the stock in the warehouse and the credit decision in finance, and orders stall in between. In Odoo one sales order carries the price, the credit check, the delivery and the invoice, so every team sees the same status.

Walk the warehouse first

We follow an order from the customer's call to the delivery, including the exceptions, before configuring anything.

Price and credit rules in writing

Your pricelist logic and credit policy are written down and signed off, then configured, so go-live holds no surprises.

One warehouse live first

The main warehouse goes live on real data before branches or satellite depots follow.

Stay through the first close

We stay through the first month-end close, when stock valuation, landed costs and receivables have to agree with the books.

Before you commit

Where distribution needs extra care in Odoo

Most distributors fit Odoo well. These are the areas where a demo looks simpler than the real project, and we price them honestly from the start.

01

Credit holds are a small custom rule

Standard Odoo warns when a customer goes over the credit limit but does not block the delivery. A hard hold with a finance release step is a small module or automation we scope separately.

02

Landed costs need automated valuation

Landed costs only reach product cost when inventory uses automated valuation with FIFO or average cost. Switching valuation on a live database needs planning with your accountant.

03

The Barcode app is Enterprise only

Handheld scanning in the warehouse uses the Odoo Barcode app, which needs an Enterprise license. On Community, scanning is limited unless we build a custom app.

04

Route planning is not built in

Odoo groups deliveries into batches but does not optimize the order of stops. For optimized routes we connect a routing service or build a simple driver app.

05

Post-dated checks need a process

Post-dated checks are still common in Thai wholesale. Standard Odoo records the payment, but tracking each check from receipt to clearing usually needs a small module or a defined manual step.

06

Pricelist sprawl

Hundreds of one-off customer price sheets are hard to maintain in any system. We usually consolidate them into group pricelists with exceptions before migrating.

How we help

Each of these is raised in scoping, priced into a phase and written into the scope, not discovered after go-live. If a different system suits your operation better, we tell you on the first call.

Reliability & security

Engineered for reliability & security

Role-based access

Odoo security groups and record rules so each person sees only what their job needs.

Tested backups

Daily backups with restores rehearsed on a schedule. An untested backup is not a backup.

Full audit trail

Chatter history, approvals and document logs show who changed what, and when.

Hardened hosting

TLS everywhere, patched servers, firewalls and monitoring whether you run Odoo.sh or your own server.

PDPA-aware data handling

Personal data kept where it belongs, with retention and access set up around Thailand's PDPA.

Upgrade-safe custom code

Custom work lives in separate, tested modules so the next Odoo version is an upgrade, not a rebuild.

Rollout

A smooth rollout, fully supported

  1. Walk the process

Workshops with the people who do the work, before any configuration.

  2. Configure the baseline

Standard Odoo set up for your sector first; custom code only where it stops.

  3. Pilot with one team

One site, one team, one month, on live data, with a rollback point.

  4. Scale and hand over

Roll out to the rest, train by role, and stay through the first month-end close.

Dedicated consultant

The same person from the first call to go-live.

Documentation you keep

Process guides and handover notes in your own repository.

Training in EN or TH

Role-based sessions for new staff, whenever you need them.

Integrations

Wired into carriers, banks and trading partners

Distributors depend on data from outside: supplier price files, carrier tracking, bank statements and customer orders. We connect them to Odoo through APIs or scheduled file exchange, with retries and a readable error log.

  • Zebra handhelds
  • Honeywell scanners
  • GS1 barcodes
  • Odoo IoT Box
  • DHL Express
  • FedEx
  • Flash Express
  • Microsoft Excel
  • Power BI

Supplier price files

Vendor price lists import on a schedule, with a review step before any cost change takes effect.

Carrier labels and tracking

Labels and tracking numbers come from the carrier's API onto the delivery order, where customer service can see them.

Bank reconciliation

Bank statements import daily, and reconciliation models match customer transfers, including PromptPay, to open invoices.

Reporting outside Odoo

If finance prefers Power BI or Excel, we expose clean, read-only data instead of letting ad hoc exports multiply.

Engagement options

Start with the part that hurts most

Each option is quoted as a fixed scope and price per phase, in writing, before work begins. Odoo Community has no license fee; Enterprise is billed by Odoo directly and never marked up by us.

FAQ

Questions clients ask first

Can Odoo handle customer-specific pricing for wholesale?

Yes. Odoo pricelists set prices by customer, customer group, quantity, date range and currency, and can calculate from cost or from another pricelist. We usually consolidate scattered price sheets into a few rule-based pricelists before migrating, which keeps them maintainable.

Does Odoo block orders when a customer exceeds the credit limit?

Standard Odoo shows a warning when an order would take a customer over the credit limit. If you need a hard hold, where the delivery waits until finance releases it, we add a small, upgrade-safe rule. Who can release an order, and when, is agreed in writing first.

How does Odoo handle backorders?

When you ship part of an order, Odoo asks whether to create a backorder for the rest. The backorder stays linked to the original sales order and sits in the warehouse queue until it ships or is canceled, so nothing depends on someone's notebook.

How are landed costs and import duties handled in Odoo?

Odoo Landed Costs adds freight, insurance, duty and broker fees to the received goods, split by quantity, weight, volume or value. It requires automated inventory valuation with FIFO or average cost. In Thailand, import VAT paid at customs is set up as reclaimable input tax, not as part of the product cost.

Do we need Odoo Enterprise for a distribution business?

It depends on the warehouse. Community covers sales, purchasing, inventory, pricelists and invoicing, but the Barcode app, full accounting automation and official Odoo support are Enterprise features. We recommend the edition that fits, and Enterprise licenses are billed by Odoo directly, never marked up by us.
