Policies, claims and commissions in one Odoo system

We configure Odoo for insurance brokers, agencies and TPAs: a policy registry that drives renewals, claims tracked from notification to payment, commission rules that calculate themselves, and books that reconcile with every insurer's statement.

What we set up

The brokerage workflow, from quote slip to settlement

Odoo brings the CRM, billing, documents and accounting. We add a compact policy-registry module on top, and configure the rest around your products, insurers and agents.

Featured module

A policy registry that drives everything

Each policy is one record: insured, insurer, product, sum insured, premium, dates and the commission split. Renewals, claims, invoices and documents all hang off it, so the answer to any client question starts from one screen.

  • One record per policy, with endorsements in its history
  • Renewal pipeline created weeks before expiry
  • Premium, commission and taxes carried per policy
  • Policy documents and slips attached and searchable

Standard Odoo set up for your sector first; custom code only where it stops.

CRM for prospects and books of business

New business and cross-sell opportunities in one pipeline, with each client's full policy portfolio visible from the contact.

Renewals that start early

Expiring policies become renewal opportunities weeks ahead, assigned to the right handler, so retention is a process instead of a scramble.

Premium billing and receipts

Debit notes to the insured, receipts on payment, and installment premiums tracked to the last payment, with overdue follow-ups built in.

Agent commissions, calculated

Commission rules per product, insurer and agent apply themselves on each policy, and payouts go through vendor bills with withholding tax deducted.

Insurer statements reconciled

Monthly statements from each insurer match against your policy records, so missing commissions and premium differences surface instead of hiding.

Claims from notice to payment

Claims run through a staged pipeline, notified, documents collected, with the insurer, approved, paid, each linked to its policy with every document attached.

Documents and e-signatures

Proposals, policies and endorsements stored on the record in Odoo Documents, with Odoo Sign closing the paperwork without a printer.

Portfolio and production reports

Production by insurer, product, branch and agent, renewal retention and commission income, from the same ledger finance closes monthly.

One registry

Sales, claims and finance reading the same policy

Most brokerages keep policies in one spreadsheet, commissions in another and claims in email. Every question means three searches, and every renewal season means missed policies. We make the policy record the single source, and renewals, claims and commissions become views of it.

Walk a renewal week first

We watch how renewals, endorsements and claims actually move through your office before configuring anything.

Clean the policy book once

Policy numbers, dates, premiums and commission terms are reconciled at migration, so the registry starts trustworthy.

Pilot one product line

One line, motor or health for example, runs fully in Odoo first. The rest follow once its renewals and statements reconcile cleanly.

Stay through the first close

We stay through the first month-end close, when premiums, commissions and insurer settlements all have to reconcile.

Before you commit

The honest limits of Odoo in insurance

Odoo fits the distribution side of insurance, brokers, agencies and TPAs. It is not a core insurer system, and saying so up front saves everyone a bad project.

01

Not a core underwriting system

Underwriting engines, actuarial models and claim reserving belong to insurer core systems. Odoo runs the brokerage around them: distribution, service and money.

02

The policy registry is custom work

Odoo has no insurance app; the policy model, renewals and endorsements are a compact module we build. It is the heart of the project and is scoped first, in writing.

03

Commission rules grow teeth

Tiers, overrides and campaign bonuses multiply over the years. We map your real rules first and tell you honestly which ones deserve automation and which should be simplified.

04

Regulatory duties stay with you

Licensing and reporting duties to the regulator remain your responsibility. Odoo keeps the records, documents and audit trail that make those duties easier to meet.

05

Portfolio data migrates slowly

Years of policies in spreadsheets carry duplicate clients, gaps and dead columns. Budget real time for cleaning before the registry can be trusted.

06

Odoo Online limits add-ons

The policy-registry module is custom code, which Odoo Online does not accept. Plan for Odoo.sh or your own server from the start.

How we help

We raise these in the scoping call, price them into the phase they belong to, and put them in writing. If Odoo is the wrong fit for your business, we say so on the first call.

Reliability & security

Engineered for reliability & security

Role-based access

Odoo security groups and record rules so each person sees only what their job needs.

Tested backups

Daily backups with restores rehearsed on a schedule. An untested backup is not a backup.

Full audit trail

Chatter history, approvals and document logs show who changed what, and when.

Hardened hosting

TLS everywhere, patched servers, firewalls and monitoring whether you run Odoo.sh or your own server.

PDPA-aware data handling

Personal data kept where it belongs, with retention and access set up around Thailand's PDPA.

Upgrade-safe custom code

Custom work lives in separate, tested modules so the next Odoo version is an upgrade, not a rebuild.

Rollout

A smooth rollout, fully supported

  1. Walk the process

Workshops with the people who do the work, before any configuration.

  2. Configure the baseline

Standard Odoo set up for your sector first; custom code only where it stops.

  3. Pilot with one team

One site, one team, one month, on live data, with a rollback point.

  4. Scale and hand over

Roll out to the rest, train by role, and stay through the first month-end close.

Dedicated consultant

The same person from the first call to go-live.

Documentation you keep

Process guides and handover notes in your own repository.

Training in EN or TH

Role-based sessions for new staff, whenever you need them.

Integrations

Connected to insurers, banks and your clients

Statements arrive as files, premiums move through banks and gateways, and clients live on LINE. We connect what earns its keep, with retries and a readable log, priced per endpoint.

  • Insurer statement files
  • Excel policy imports
  • LINE Official Account
  • PromptPay
  • 2C2P
  • Bank statement files
  • e-Tax Invoice providers
  • Odoo Sign

Data contract first

We agree which system owns each field, such as premium, status or commission rate, before any sync is built.

Statements matched by rule

Insurer statement files import and match to policies by number and period, with differences queued for a person to judge.

Premiums reconciled

Premium payments through transfer, PromptPay or card match to the right debit note automatically.

Priced per endpoint

Each integration is quoted per endpoint once the data contract is agreed, so adding an insurer feed later is a known cost.

Engagement options

Pick the starting point that fits your book

Every option has a fixed scope and price per phase, agreed in writing before work starts. If you choose Odoo Enterprise, licenses are billed by Odoo directly and never marked up by us.

FAQ

Questions clients ask first

Is Odoo suitable for an insurance company?

For brokers, agencies and TPAs, yes: distribution, renewals, claims handling and commissions fit Odoo well with a compact policy module. For an insurer's core underwriting, rating and reserving, no, and we will say so on the first call rather than sell you the wrong project.

Can renewals be generated automatically?

Yes. Expiring policies create renewal opportunities weeks ahead of the end date, assigned to the responsible handler with the old terms attached. Reminders escalate as the date approaches, and unrenewed policies are visible as a list instead of a surprise.

How are agent commissions and withholding tax handled?

Commission rules per product, insurer and agent calculate the amount on each policy, and payout runs create vendor bills with withholding tax deducted and certificates printed. Each agent gets a statement that matches the payment, which ends most commission disputes before they start.

Can claims be tracked in Odoo?

Yes, as a staged pipeline from notification to payment, linked to the policy with documents and deadlines on each stage. To be clear about the boundary: Odoo tracks your handling of the claim; the insurer's own claim decision still happens in their system.

How long does an insurance Odoo implementation take?

A focused core covering the policy registry, renewals, billing and accounting typically runs six to twelve weeks, with the commission engine sized by how tangled your rules are. Portfolio data cleanup is usually the long pole. You get a phased timeline after scoping, not before.
