What we set up

Every department of the hotel, posting to one ledger

Core Odoo covers dining, stock, purchasing, staff and accounting. The front desk comes from a hotel module we implement on top, so every department posts to the same guest folio and the same ledger.

Featured module

Front desk and room reservations

A hotel module on Odoo gives the front desk a room chart with check-in, check-out and a folio per stay. Room types, seasonal rates and extras are set up to match your rate sheet, and every charge lands in Odoo Accounting without re-typing.

  • Room types, seasonal rates and extra charges
  • Deposits, no-shows and early check-outs on the folio
  • Group bookings with one bill or split bills
  • Guest records ready for registration paperwork

Standard Odoo set up for your sector first; custom code only where it stops.

Restaurant, bar and room service

Odoo POS in restaurant mode runs table plans, kitchen printing and split bills, and we link restaurant and room-service charges to the guest folio instead of leaving them as separate tickets.

Housekeeping and maintenance

Checkout rooms drop onto the housekeeping board, repair jobs become work orders with photos, and the front desk sees which rooms are ready to sell without walking the floors.

Stock for every outlet

Kitchen, bar, minibar and the housekeeping store each get their own stock location with transfers and reorder rules, so outlet counts stop living in notebooks.

Purchasing and vendor bills

Purchase orders for food, beverage and supplies, receiving checked against the order, and vendor bills matched before payment, with withholding tax (PND 3/53) applied where it is due.

Thai tax on the folio

VAT and service charge are calculated on the folio, full tax invoices print with your hotel's details, and e-Tax Invoice & e-Receipt goes out through the service provider you choose.

Staff, shifts and payroll inputs

Employees, attendances and shift planning give HR clean inputs for payroll, with roles that control who sees rates and who can give discounts.

Direct bookings from your website

A booking page on Odoo Website takes direct reservations and enquiries, so repeat guests and walk-in business stop paying OTA commission.

Occupancy, ADR and outlet margin

Occupancy, average daily rate and revenue per room come from the booking data, and outlet margins come from the same ledger your accountant closes each month.

How it fits together

One guest folio connecting every outlet to the books

Hotels leak money between systems: the front desk file, the restaurant till, the minibar sheet and the accounting spreadsheet each tell a different story. We make the folio in Odoo the one place every charge lands, so the night audit and the month-end close read from the same numbers.

Walk the property first

We follow a check-in, a housekeeping round and a dinner service before configuring anything.

Rates and policies in writing

Room types, seasons, deposit and cancellation rules are written down and signed off before we configure them.

Go live one department at a time

Front desk and accounting go first on live data, then the restaurant POS, then stores and purchasing.

Stay through the first close

We stay through the first month-end close, when deposits, service charge and guest ledger balances have to reconcile.

Before you commit

What hotels should know before choosing Odoo

Odoo is a strong back office and POS for hotels, but the front desk story needs honesty. These are the points we raise on the first call.

01

Odoo has no hotel front desk out of the box

Core Odoo ships no room chart or folio. That layer comes from a third-party hotel module or one we build, and we tell you which fits, what it costs and who maintains it.

02

Channel managers are an integration project

Booking.com, Agoda and other OTAs connect through a channel manager, priced per endpoint and monitored under a support plan, because OTA APIs change.

03

Odoo Online cannot host this setup

Hotel modules and connectors are third-party code, which Odoo Online does not accept. Plan for Odoo.sh or your own server from the start.

04

TM30 and guest reporting stay with you

Thai hotels report foreign guests to Immigration. Odoo keeps guest data tidy and exportable, but the filing itself remains your team's routine.

05

Service charge needs an accounting decision

How service charge is collected, split and paid out is policy before it is configuration. We configure what you and your accountant decide, and put it in writing.

06

The night audit is a discipline

A daily close catches wrong postings while they are small. We set up the checklist and train the night team, but the routine has to be kept.

How we help

Each of these is raised in scoping, priced into its phase and written into the scope. If Odoo is the wrong fit for your property, we say so on the first call.

Reliability & security

Engineered for reliability & security

Role-based access

Odoo security groups and record rules so each person sees only what their job needs.

Tested backups

Daily backups with restores rehearsed on a schedule. An untested backup is not a backup.

Full audit trail

Chatter history, approvals and document logs show who changed what, and when.

Hardened hosting

TLS everywhere, patched servers, firewalls and monitoring whether you run Odoo.sh or your own server.

PDPA-aware data handling

Personal data kept where it belongs, with retention and access set up around Thailand's PDPA.

Upgrade-safe custom code

Custom work lives in separate, tested modules so the next Odoo version is an upgrade, not a rebuild.

Rollout

A smooth rollout, fully supported

  1. Walk the process

Workshops with the people who do the work, before any configuration.

  2. Configure the baseline

Standard Odoo set up for your sector first; custom code only where it stops.

  3. Pilot with one team

One site, one team, one month, on live data, with a rollback point.

  4. Scale and hand over

Roll out to the rest, train by role, and stay through the first month-end close.

Dedicated consultant

The same person from the first call to go-live.

Documentation you keep

Process guides and handover notes in your own repository.

Training in EN or TH

Role-based sessions for new staff, whenever you need them.

Integrations

Connected to the OTAs, payments and hardware

OTA bookings, payment gateways and hotel hardware connect to Odoo through APIs, each with retries and a log your team can read. Every integration is scoped and priced per endpoint.

  • Booking.com
  • Agoda
  • Expedia
  • Channel managers
  • PromptPay
  • 2C2P
  • LINE Official Account
  • Epson kitchen printers
  • Odoo IoT Box
  • Key card systems

One channel manager, not five links

A channel manager keeps rates and availability in step across OTAs, and Odoo syncs with it rather than with every site separately.

Payments land on the folio

PromptPay, cards and bank transfers are matched to folios and deposits, not left in a gateway report.

Hardware tested on site

Printers, cash drawers and card terminals are tested in your restaurant before go-live, not assumed from a spec sheet.

Priced per endpoint

Each connection is quoted per endpoint after the data contract is agreed, so adding an OTA later is a known cost.

Engagement options

Pick the starting point that fits your property

Every option has a fixed scope and price per phase, agreed in writing before work starts. If you choose Odoo Enterprise, licenses are billed by Odoo directly and never marked up by us.

Hotel fit review

For hotels deciding whether Odoo fits. A fixed-fee review of your property, outlets and current systems, ending in a written recommendation.

Priced after scoping

  • Walk-through of front desk, housekeeping and one dinner service
  • Inventory of current systems, OTAs and hardware
  • Hotel module recommendation with honest trade-offs
  • Costed, phased roadmap you keep

FAQ

Questions clients ask first

Does Odoo have a hotel management system built in?

Not in the core apps. Odoo covers POS, inventory, purchasing, HR and accounting very well, but the room chart and guest folio come from a hotel module, either a third-party app we vet or one we build for you. We put that choice, its price and its maintenance plan in writing before you commit.

Can restaurant bills be charged to the room?

Yes. Odoo POS handles the restaurant order, and we connect it to the guest folio so a signed dinner bill appears on the room account and on the final tax invoice. The link between POS and the hotel module is part of the implementation, so we test it with your real menu and real room setup before go-live.

Can Odoo connect to Booking.com and Agoda?

Yes, through a channel manager that syncs rates, availability and reservations between Odoo and the OTAs. The connection is scoped and priced per endpoint, and it belongs in a support plan because OTA APIs change without asking you first.

How does Odoo handle Thai hotel taxes?

VAT and service charge are configured on the folio and the POS, full tax invoices carry your hotel's head office or branch details, and e-Tax Invoice & e-Receipt runs through the provider you choose. On the cost side, withholding tax certificates (PND 3/53) are produced when you pay contractors and suppliers. POS machines that issue abbreviated tax invoices still need Revenue Department approval.

How long does a hotel implementation take?

A focused core covering front desk, one restaurant, stock and accounting typically runs six to twelve weeks, going live one department at a time. Channel manager links and extra outlets add phases. You get a phased timeline after scoping, not before, because an estimate made without walking your property is worth nothing.
