Tender management on Odoo
Bids, BOQ prices and approvals on one tender record
We configure Odoo for contractors who bid for work and procurement teams who buy through tenders: every tender with its documents, BOQ pricing, supplier quotes and approvals on one record, and custom modules only where standard Odoo stops.
- Tender pipeline in CRM
- BOQ costing on quotations
- Supplier quote comparison
- Approvals in writing
- Industry playbooks on this site
- Offices: Bangkok, New York, Delhi NCR
- Apps of our own on the Odoo Apps Store
- Reply time on business days

What we configure
The Odoo apps behind a disciplined tender desk
Odoo has no standard e-tendering suite, so we assemble tender management from CRM, Sales, Purchase, Project, Documents and Sign. A small custom module then adds what tender work needs and standard Odoo lacks: bid registers, evaluation scores and submission checklists.
Featured module
One record per tender
Each tender is a CRM opportunity holding the issuer, the deadline, the TOR and BOQ files, the bid price and every decision along the way. Emails, site-visit notes and approvals log underneath, so a go or no-go call is made on facts, not memory.
- Stages from notice to submitted to won or lost
- Deadlines as scheduled activities with reminders
- A submission checklist before any bid leaves
- Win and loss reasons recorded for the next bid
Standard Odoo set up for your sector first; custom code only where it stops.
Finding and qualifying tenders
Announcements you track from e-GP in Thailand, GeM in India or private invitations become pipeline entries, and a go or no-go checklist filters out bids you cannot win.
BOQ pricing
BOQ lines import from Excel onto a quotation, each with cost, margin and the supplier quote behind it, so the bid price traces back to its build-up.
Supplier quotes side by side
Odoo Purchase sends one RFQ to several vendors and compares the answers line by line, so the costs inside your bid are current, not last year's price list.
Approvals before submission
Bid prices and discounts above set limits route to the right manager, and the approval is logged on the tender with the name and time.
Documents and versions
TORs, drawings, certificates and the bid itself file per tender in Odoo Documents, with tags and access rules, so the team submits the right version.
Bid bonds and guarantees
Bid bonds and performance guarantees post to their own accounts with expiry dates as reminders, so cash tied up at the bank is visible and comes back on time.
From award to delivery
A won tender converts to a sales order, a project and purchase orders in the same database, so the price you bid becomes the budget you deliver against.
Pipeline and margin reports
Bids submitted, won and lost by customer, sector and month, and actual cost against the BOQ once delivery starts, all from the same records.
Why Odoo
Bidding, buying and books on one database
Most tender teams price bids in spreadsheets that die the day the bid is submitted. On Odoo the BOQ that won the job becomes the budget, the purchase orders and the invoices, so the margin you promised is a number you can still find six months later.
Configure first, code last
CRM, Sales, Purchase and Documents cover most of the flow. Custom work such as scoring matrices ships as separate modules with the source in your repository.
Both sides of the table
Contractors run the bidding pipeline; procurement teams run calls for tender with quote comparison and award approvals from the same apps.
Thai, US and Indian paperwork
Thai VAT and withholding tax, e-Tax Invoice, retention on progress claims, and GST or sales tax for Indian and US entities from the same books.
An audit trail by default
Every price change, approval and document version records who and when, which is what a procurement audit asks for first.
Before you commit
What Odoo will not do for tender work
Odoo is a strong base for tender operations, not a government e-procurement platform. These are the gaps we raise on the first call.
01
No link to government portals
Bids on Thailand's e-GP, India's GeM or US portals are still submitted on those systems. Odoo tracks the deadline, the documents and the outcome; it does not file for you.
02
Sealed bidding is custom work
If you open tenders to vendors, a portal with time-locked envelopes and two-stage evaluation is a custom build we scope and price separately.
03
Scoring rules are yours
We build weighted evaluation fields and comparison reports. The criteria, weights and committee process come from your procurement policy, not from us.
04
BOQ files need a mapping pass
Every issuer formats BOQs differently. We set up an import template, and the first few imports are checked line by line before you trust the totals.
05
Documents and Sign need Enterprise
Tender filing and e-signature are Enterprise apps. On Community you work with attachments and a separate signing tool.
06
Bond paperwork stays with the bank
Odoo tracks bid bonds, their amounts and expiry dates, but issuing and releasing bank guarantees happens at your bank; the follow-up is a reminder, not an API.
How we help
Not sure Odoo fits your tender desk? Bring one recent tender to a short scoping call and we will map it stage by stage, with a straight answer at the end.
Reliability & security
Engineered for reliability & security
Role-based access
Odoo security groups and record rules so each person sees only what their job needs.
Tested backups
Daily backups with restores rehearsed on a schedule. An untested backup is not a backup.
Full audit trail
Chatter history, approvals and document logs show who changed what, and when.
Hardened hosting
TLS everywhere, patched servers, firewalls and monitoring whether you run Odoo.sh or your own server.
PDPA-aware data handling
Personal data kept where it belongs, with retention and access set up around Thailand's PDPA.
Upgrade-safe custom code
Custom work lives in separate, tested modules so the next Odoo version is an upgrade, not a rebuild.
Rollout
A smooth rollout, fully supported
Walk the process
Workshops with the people who do the work, before any configuration.
Configure the baseline
Standard Odoo set up for your sector first; custom code only where it stops.
Pilot with one team
One site, one team, one month, on live data, with a rollback point.
Scale and hand over
Roll out to the rest, train by role, and stay through the first month-end close.
Dedicated consultant
The same person from the first call to go-live.
Documentation you keep
Process guides and handover notes in your own repository.
Training in EN or TH
Role-based sessions for new staff, whenever you need them.
Integrations
Connected to the way tenders actually run
Email and calendars connect through Odoo's standard sync, BOQs come in from Excel, and anything beyond that is a small integration we build and price per endpoint once the data flow is agreed in writing.
- Odoo CRM
- Odoo Purchase
- Odoo Project
- Odoo Documents
- Odoo Sign
- Excel BOQ import
- Google Calendar
- Outlook
- LINE Official Account
- Power BI
Tender mail on the record
Copy a tender's email alias and clarifications, corrigenda and vendor replies land in that tender's history with attachments.
Deadlines on every phone
Submission and clarification dates sync to Google or Outlook calendars, so the team is reminded wherever it works.
Signatures without printing
Bid letters, consortium agreements and contracts go out through Odoo Sign, and the signed PDF files itself on the tender.
Data you can take with you
Every pipeline and BOQ list exports to Excel, and the database is PostgreSQL you control, so reports and future systems are never locked out.
Engagement options
From one bid to the whole pipeline
We do not publish package prices. Every quote follows a scoping call and fixes scope and price per phase, in writing. Odoo licenses are billed by Odoo directly and never marked up by us.
Fit and scope review
Usually two to four weeks. We walk one tender from the notice to the award decision and tell you plainly whether Odoo fits.
Priced after scoping
- Process walk-through with estimators and procurement
- Gap analysis against standard Odoo
- Community or Enterprise recommendation
- Costed roadmap by phase
Phased rollout
The tender pipeline, BOQ costing and approvals go live first. Documents, bond tracking and evaluation tools follow once the core is stable.
Priced after scoping
- Fixed scope and price for each phase
- BOQ import template built on your real files
- Import of open tenders, customers and suppliers
- Role-based training in Thai or English
- Support through the first month-end close
Support and extend
Already on Odoo? We add the tender layer to your database, or take over support of what you run today.
Priced after scoping
- Health check of configuration and custom code
- Monthly support plan with no per-ticket charges
- New modules delivered to your repository
- Version upgrades rehearsed before cutover
FAQ
Questions clients ask first
Does Odoo have a tender management module?
Not as a single standard app. We configure CRM for the pipeline, Sales for BOQ pricing, Purchase for supplier quotes and Documents and Sign for the paperwork, then add a small custom module for bid registers and evaluation scoring. You own that module's source code.
Can Odoo price a BOQ with hundreds of lines?
Yes. BOQ lines import from Excel onto a quotation with cost and margin per line, and supplier RFQs feed current prices into the build-up. The first imports are checked line by line until the totals are trusted.
Does it connect to e-GP or other government e-bidding systems?
No. Submissions on e-GP in Thailand, GeM in India or US portals stay on those systems. Odoo keeps the record: the deadline, the documents you filed, the price and the outcome, so your pipeline and win rate are still complete.
Can it run the buying side of tenders too?
Yes. Odoo Purchase sends one call for tender to several vendors and compares the answers line by line, with award approvals logged. A sealed-bid vendor portal with time-locked envelopes is custom work we scope separately.
How much does tender management on Odoo cost?
Cost splits into Odoo licensing and implementation. Community is free, Documents and Sign need Enterprise, billed per user by Odoo, and implementation is quoted per phase after we walk your process. You get a written price and timeline before work starts.
