Fixed fee and milestones

Fixed-fee work is invoiced by milestone or percentage, while the same project still tracks time so you can see what the fee really cost.

Time and materials

Hours, expenses and materials are billed as used at agreed rates, with allocated hours tracked against the budget.

Retainers and prepaid hours

Monthly retainers bill automatically through Subscriptions, and prepaid hour packages show the remaining hours on the project and in the client portal.

Utilization and capacity

Billable and non-billable hours by person, team and client, with Planning showing who is free next week before you sign the next project.

Approvals

Timesheets, expenses and purchase requests follow approval steps before they reach an invoice or a vendor bill.

CRM opportunities become quotations built from your service lines, and clients sign online, or sign engagement letters through Odoo Sign.

How it fits together

One project for every billing model you sell

Most firms sell a mix: a fixed-fee phase, extra hours at an agreed rate, then a monthly retainer. In Odoo one sales order can carry all three, so the project, the timesheets and the invoice agree, and finance does not rebuild the bill in a spreadsheet.

Map your contracts first

We read a sample of real contracts and invoices, then map each billing clause to an Odoo setting before configuring anything.

Thai tax set up correctly

VAT on services falls due when you are paid, and clients deduct withholding tax. We configure cash-basis VAT and record withholding against each invoice, so the books match your filings.

Pilot with one team

One practice or team runs on live projects first; the rest of the firm follows once billing works end to end.

Stay through the first close

We stay through the first month-end close, when unbilled time, deferred revenue and receivables have to agree with the books.

Odoo covers the core of a services firm well. These are the places where contracts, revenue rules or habits need more than configuration.

Percentage-of-completion revenue

Odoo Enterprise handles deferred revenue by date, but percentage-of-completion recognition is not standard. If your auditors require it, we scope a custom module with your accountant.

Key apps are Enterprise

Timesheet approval, Planning, Subscriptions, Sign and full Accounting are Enterprise features. Small firms can start on Community with manual steps and upgrade when volume justifies it.

Billing is only as good as the time people log. Reminders and a timer help, but daily logging is a management decision that no software makes for you.

Rates that vary by client, role, seniority and date can be set up, but hundreds of exceptions become hard to maintain. We simplify the rate card with you before migrating.

Several currencies and entities

Billing USD or INR clients from a Thai company needs multi-currency and exchange-rate rules agreed with your accountant, and several legal entities need multi-company, which adds scope.

Questions clients ask first

Can Odoo invoice directly from timesheets?

Yes. Service products set to invoice from timesheets pull approved hours onto the next invoice at the agreed rate. You can include timesheet detail for the client, and fixed-fee or milestone lines can sit on the same sales order.

Can one project mix fixed-fee and time-and-materials billing?

Yes. A single sales order can hold a fixed-fee milestone line, hourly lines billed from timesheets and expense lines, all linked to one project. Project profitability then shows revenue and cost for the whole engagement, not just one billing type.

How does Odoo handle retainers and prepaid hours?

Monthly retainers run as recurring invoices through Odoo Subscriptions, an Enterprise app. Prepaid hour packages are sold as service products, and Odoo shows the remaining hours on the project and in the client portal as time is logged.

How are Thai VAT and withholding tax handled on service invoices?

VAT on services becomes due when you are paid, so we set VAT in Odoo to fall due on payment, with the tax invoice issued when the client pays. Clients usually deduct withholding tax, typically 3% on service fees, and we record it against the invoice so receivables and withholding tax certificates reconcile.

Do we need Odoo Enterprise for a consulting firm?

Often, yes. Timesheet approval, Planning, Subscriptions, Sign and full Accounting are Enterprise features that a growing firm usually needs. A small firm can start on Community with Project, Timesheets and Invoicing, and Enterprise licenses are billed by Odoo directly, never marked up by us.
