What we set up
The studio day, on one member record
Odoo does not pretend to be a gym app, and neither do we. We assemble memberships, bookings and billing from standard apps, then add small modules for the fitness-specific rules, each scoped in writing.
Featured module
Memberships that renew themselves
Membership plans run on the Odoo Subscriptions app: monthly or annual, invoiced automatically, with payment links and reminders that chase politely so the front desk does not have to. Freezes and cancellations follow rules you set, recorded on the member's file.
- Monthly and annual plans with automatic invoices
- PromptPay and card payment links on every invoice
- Freeze and cancellation rules applied consistently
- Renewal reminders before the plan lapses
Standard Odoo set up for your sector first; custom code only where it stops.
Class schedules and booking
Classes run as scheduled slots with capacity limits, booked by members from the website portal, so a full class closes itself instead of overbooking the room.
Trainers and instructors
Trainers are employees or contractors with assigned classes and recorded hours, giving payroll and cost-per-class real inputs instead of estimates.
Check-in at the door
Members check in by QR or barcode against an active membership, and expired members are flagged at the desk, not discovered at renewal time.
Front-desk POS
Odoo Point of Sale sells day passes, drinks, supplements and merchandise, with member pricing and the same stock ledger as your purchasing.
Class packs and credits
Ten-class packs and personal training credits are sold once and burned down per attendance, with the balance visible to both the member and the desk.
Website and member portal
Schedules, sign-up and payments live on your own Odoo website, where members see their invoices, bookings and remaining credits.
Billing and Thai tax
Receipts and tax invoices where VAT registration applies, reminders for unpaid fees, and PromptPay reconciliation into the same books your accountant closes.
Numbers you can trust
Active members, renewals due, attendance per class and revenue per branch come from live records, not from a whiteboard estimate.
How it fits together
One member record from sign-up to renewal
Studios drift into three lists: the booking app, the payment spreadsheet and the chat group where classes actually fill. When they disagree, revenue leaks. In Odoo the member is one contact carrying the plan, the bookings, the payments and the check-ins, so the front desk answers from one screen.
Walk the front desk first
We watch the morning rush, a class check-in and a renewal conversation before configuring anything.
Membership rules in writing
Plans, freezes, refunds and no-show rules are written down and signed off, then configured to apply the same way for everyone.
Pilot one branch or room
The pilot runs on live data while the old lists stay on standby. The rest follows once it holds.
Stay through the first close
We stay through the first month-end close, when member payments, POS cash and bank statements have to reconcile.
Before you commit
What studios should know before choosing Odoo
Odoo competes here with purpose-built gym apps, so the honest comparison matters. This is where Odoo earns its place, and where it needs custom work.
01
Odoo is not an off-the-shelf gym app
Purpose-built gym software exists and installs faster. Odoo earns its place when you want accounting, stock, POS and memberships in one system you own. We tell you which side of that line you are on, even when the answer costs us the project.
02
Subscriptions and Appointments are Enterprise apps
The recurring billing and booking pieces come from Enterprise apps. On Community we build lighter equivalents as small modules and price the difference honestly.
03
Waitlists and no-show rules are custom logic
Capacity limits are standard; waitlist promotion and no-show penalties are small custom rules we write to your policy, with the policy agreed first.
04
A branded member app is a separate project
The web portal covers booking and payments on a phone. A native app with your logo in the app stores is real mobile development, which we scope as its own project.
05
Door hardware varies
Turnstiles, QR readers and fingerprint devices speak different protocols. We test your exact hardware in the pilot before any rollout promise.
06
Member data falls under PDPA
Health notes and photos are personal data under Thailand's PDPA. We configure access rights so trainers, the desk and finance each see only what their role needs.
How we help
Each of these is raised in scoping, priced into its phase and written into the scope. If a purpose-built gym app serves you better, we say so on the first call.
Reliability & security
Engineered for reliability & security
Role-based access
Odoo security groups and record rules so each person sees only what their job needs.
Tested backups
Daily backups with restores rehearsed on a schedule. An untested backup is not a backup.
Full audit trail
Chatter history, approvals and document logs show who changed what, and when.
Hardened hosting
TLS everywhere, patched servers, firewalls and monitoring whether you run Odoo.sh or your own server.
PDPA-aware data handling
Personal data kept where it belongs, with retention and access set up around Thailand's PDPA.
Upgrade-safe custom code
Custom work lives in separate, tested modules so the next Odoo version is an upgrade, not a rebuild.
Rollout
A smooth rollout, fully supported
Walk the process
Workshops with the people who do the work, before any configuration.
Configure the baseline
Standard Odoo set up for your sector first; custom code only where it stops.
Pilot with one team
One site, one team, one month, on live data, with a rollback point.
Scale and hand over
Roll out to the rest, train by role, and stay through the first month-end close.
Dedicated consultant
The same person from the first call to go-live.
Documentation you keep
Process guides and handover notes in your own repository.
Training in EN or TH
Role-based sessions for new staff, whenever you need them.
Integrations
Connected to payments, doors and your ads
Payment gateways, door hardware and lead channels connect to Odoo through APIs, with retries and a readable log. Each integration is scoped and priced per endpoint.
- PromptPay
- 2C2P
- Stripe
- LINE Official Account
- QR & barcode readers
- Turnstiles & door access
- Google Calendar
- Meta lead forms
Payments chase themselves
Payment links and polite reminders go out on schedule, and incoming PromptPay and card payments reconcile to the member's invoice.
Door access tied to membership
Check-in devices validate against the live membership state, and each hardware vendor's protocol is integrated and tested as its own endpoint.
Leads from social ads
Meta lead forms land in the CRM with follow-up tasks, so trial requests get called while they are still warm.
Priced per endpoint
Each connection is quoted per endpoint after the data contract is agreed, so adding hardware or a channel later is a known cost.
Engagement options
Pick the starting point that fits your studio
Every option has a fixed scope and price per phase, agreed in writing before work starts. If you choose Odoo Enterprise, licenses are billed by Odoo directly and never marked up by us.
Studio fit review
For studios deciding between Odoo and a purpose-built gym app. A fixed-fee review ending in a written, honest recommendation.
Priced after scoping
- Walk-through of the front desk and one class day
- Membership, payment and booking data inventory
- Odoo or purpose-built app recommendation with reasons
- Costed, phased roadmap you keep

- Booking portal and check-in configuration
- Door hardware integration tested on site
- Monitoring and a monthly support plan
FAQ
Questions clients ask first
Can Odoo handle recurring membership billing?
Yes. The Subscriptions app invoices monthly and annual plans automatically, sends payment links and reminders, and records freezes and cancellations against your rules. It is an Enterprise app; on Community we build a lighter recurring-billing module instead and tell you the cost difference before you choose.
Can members book classes online with capacity limits?
Yes. Classes are scheduled slots with capacity caps, and members book from the web portal on their phone. A full class stops taking bookings by itself. Waitlist promotion and no-show penalties are custom rules we add when your policy calls for them, with the logic agreed in writing first.
Do we need Odoo Enterprise for a gym or studio?
Often, but not always. Subscriptions and Appointments, the two most useful apps here, are Enterprise, and Enterprise licenses are billed by Odoo directly and never marked up by us. A single studio on a tight budget can run on Community with small custom modules instead, and we lay out both paths with real numbers before you decide.
Can members book and pay from their phones?
Yes, through the member portal on your Odoo website, which works in any mobile browser: schedules, bookings, invoices and PromptPay or card payment in a few taps. If you want a branded native app in the app stores, our mobile team builds it as a separate, scoped project on top of the same Odoo backend.
How long does a studio implementation take?
A single-branch studio covering memberships, booking, POS and accounting usually sits at the shorter end of six to twelve weeks. Door hardware, multi-branch rollouts and a branded app add phases of their own. You get a phased timeline after scoping, not before.
